Who we are

Sentinel is a Discord bot and website that helps ETS2 and ATS communities check whether members are in Discord servers known for leaking mods. It is run by Roni Scott, who is the data controller for the information described here. Contact: MyDadsSoft1@outlook.com.

Server staff who receive an alert decide for themselves what to do about it. They are responsible for their own moderation decisions.

What we keep, why, and for how long

InformationWhyBasisHow long
Your Discord ID and username, and which known servers you are in (matches only)To run the check you asked for and tell staff of servers you are in if there is a matchLegitimate interests (provisional; subject to a documented balancing assessment)Up to 90 days after your last check. Removed sooner if a later check finds no match, if you leave the server, or if you delete your data.
An encrypted refresh token (only if you choose "check and allow rechecks")To carry out authorised ongoing rechecks without asking you each timeYour consentUntil you delete it, revoke access in Discord, or it stops working. It is deleted automatically after 365 days from the last stored token update; an earlier revocation or deletion can end access sooner.
Staff review actions (acknowledge or recheck requested, and by whom)So staff do not act twice on the same alertLegitimate interests (running a moderation tool)Cleared with the match record.
Dashboard sign-in: Discord ID, username, avatar, and IDs of servers you ownTo show server owners only their own serversLegitimate interests (securing the dashboard)Held in memory for 8 hours, then discarded.
Server settings: server ID, channel and role IDs, and any user IDs staff whitelistTo run the bot in a serverLegitimate interestsUntil the bot is removed from that server.
Security log entries (event type and time, no user IDs)To fix faults and spot abuseLegitimate interestsUp to 90 days.

The full list of servers you are in is read during each authorised check and is not saved. Only matching server IDs and names are kept. Sentinel does not read your messages, and does not ask for your password or email address. It does not keep a list of the members of the servers it is in. To show counts on the dashboard it loads a server's member list into temporary memory and discards it.

Your choices when you verify

You approve two Discord permissions: identify and guilds. You can then choose:

Check once. Sentinel reads your server list one time and keeps only the result.
Check and allow rechecks. Sentinel also stores an encrypted token so it can recheck you when servers are added to the list. You can change your mind at any time.

Verification is required to access chat in participating servers. You may choose a one-time check without enabling ongoing checks. Refusing verification may prevent access to protected chat. Ask the server staff about alternative review or access arrangements.

Objections and human review

You can object to processing based on legitimate interests and ask for a human review of a match or an access restriction. Contact the server staff or the privacy contact listed above. A match is not evidence of wrongdoing. Staff must consider context before taking further action.

What happens if there is a match

Sentinel compares your server list with its known-server list automatically. If there is a match, it removes the Verified role in the server where you verified, which may limit what you can see there. It also posts an alert for staff of servers you are in. Nobody is kicked or banned automatically.

Being in a server is not proof that you did anything wrong. Staff review matches and can restore your role. If you think a match is wrong, contact the server's staff or email us and we will help.

Who can see your information

Staff of servers you are in can see an alert about you. Server owners can see current matches for their own server on the dashboard. We do not sell your data, use it for advertising, or run analytics. Discord and our hosting provider, Bot-Hosting, process data to provide their services. Our host is a third-party provider and its servers may be outside the UK. Contact us if you want to know where your data is stored.

Your rights

You can ask to see, correct, delete, restrict, or move your data, and you can object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time.

The quickest way is in Discord: /mydata view shows your record, /mydata export gives you a file, and /mydata delete removes it and revokes your token. You can also remove access under Authorized Apps in Discord settings, or email us. We aim to reply within one month.

Deleting your data from the live bot does not automatically remove messages already posted in Discord, roles already given, or copies in hosting backups. Contact us for assistance with these remaining copies. Backup retention is subject to confirmation with the host.

If you are unhappy with how we have handled your data, please contact us first so we can put it right. You can also complain to the UK Information Commissioner's Office at ico.org.uk.

Security

Stored tokens are encrypted. Dashboard sessions expire after 8 hours and only show servers you own. If a personal-data breach is likely to risk people's rights and freedoms, we will assess notification obligations, notify the ICO within 72 hours of awareness where required (or explain a delay), and notify affected people when legally required.

Cookies and images

If you sign in to the dashboard, we set one essential cookie to keep you signed in. It is removed when you log out or after 8 hours. We use no analytics or advertising cookies. The dashboard loads your avatar from Discord's servers.

Children

Discord requires users to be at least 13. Sentinel is not meant for anyone under 13, and we do not knowingly keep their data.

Changes

If we change what we collect or how we use it, we will update this page and the date at the top. For significant changes we will also say so on the support server.
